02 — Import
Start from the log you already have
An hour log that is already years old usually started somewhere else, in a spreadsheet or in a tracker you have outgrown. Import reads that history in one pass, and every imported hour is checked against your pathway's rules the same way a new entry is, so your first day here starts from where you actually are instead of from zero.
What the importer reads today
- A CSV export from Clinical Supervision Tracker or PsyKey, uploaded exactly as that tool produces it
- Any comma-separated CSV whose header row has a column named date and one named hours, minutes, or duration
- Optional columns named category, supervisor, and notes, matched to the session they belong to
- Dates in either 2024-03-15 or 3/15/2024 form
- Multi-year histories in one upload rather than a file per year, at the 2,300-session scale measured below

- Files separated by tabs or semicolons rather than commas
- Column headings the importer does not recognize, and files whose first row is a title rather than the column names
What one import looked like
2,300 sessions logged from 2022 through 2025, 1,922.8 hours across 181 weeks, uploaded as one CSV and imported in about three seconds. Every category total came out exactly where hand arithmetic put it. Licentio then held that history against the BBS rules for the pathway, the same way it holds every hour logged from that day forward: 121 entries came back needing attention, each one waiting on the Validation page.

03 — Validate
Your hours are validated, not just counted
Licentio checks each hour against the BBS rules for your license type as you log it: category caps, weekly supervision units, the 10-hour tier, and supervisor eligibility. Hours that fail a rule are held out of your creditable total with the reason shown, so you find out that week.

06 — Submit
The actual BBS form, filled in for you
Licentio does not hand you a report to retype onto the board's paperwork. It fills the official California BBS Experience Verification for your pathway (form 37A-201 for LCSW, 37A-301 for LMFT, 37A-675 for LPCC) from your approved hours, then routes it to your supervisor to sign electronically.
