The Problem
Tracking hours shouldn't feel like guesswork
Most associates track supervised experience in a spreadsheet or a paper log, and find out whether a week counted when they put their application together.
A spreadsheet can't tell you a week failed
Log 14 clinical hours at one site in a week with one hour of supervision and your total goes up by 14. Under BBS rules, that week's clinical hours at that site do not count. A self-kept log will not say so.
The rules are complex
Weekly supervision units, the 10-hour tier, supervisor credential rules, category minimums and caps. The California BBS has dozens of rules that decide whether a week counts, and one miss can cost you months.
Coordination is manual
Your supervisor has to verify your hours, but there's no shared record. Spreadsheets go back and forth by email, and nobody can say for sure that what got signed matches what happened.

Every hour is checked against California BBS rules for your license type. If an entry or a week falls short, those hours are held out of your total with the reason, and you know that week, not when you apply.

Bring your existing hours with you
If you are already hundreds or thousands of sessions in, kept in a spreadsheet or in another tracker, re-entering all of it by hand is not a real option. Upload the log you already keep as a CSV instead. Your history comes across in one pass, and every imported hour is checked against your pathway's rules the same way a new entry is.
What you can upload today
- A CSV export from Clinical Supervision Tracker or PsyKey, exactly as that tool produces it
- Your own comma-separated CSV, as long as its header row has a column named date and one named hours, minutes, or duration
- Optional columns named category, supervisor, and notes, which come across with the session they belong to
- Dates written either as 2024-03-15 or as 3/15/2024
Those column names are the ones the importer reads, so rename your header row if yours differ, and separate the file with commas rather than tabs or semicolons. Excel workbooks and PDF exports are not supported yet. If your log lives in Excel or Google Sheets, save a copy as CSV first.

How the Catch Works
Hours that fail a rule are held out, and the rule is named
A week that breaks a supervision rule looks fine in a self-kept hour log, because the total still goes up. Licentio checks every entry and every week against the BBS rules for your license type as you log it. When one fails, those hours are held out of your creditable total with the rule that held them. Close the gap and they count again. You find out in week 12, not in year three, and the same creditable record fills your official BBS Experience Verification when you apply.

Supervision rules call for 2 complete supervision units in any week with more than 10 hours of direct clinical work at a single setting. The rule counted 14 direct clinical hours at that setting against 1 complete supervision unit.
What happens next
- Forgot to log a session? Add the second unit (an hour of individual or triadic supervision, or two hours of group) and the week counts again.
- Missed it for real? You lose one week, not a year of heavy weeks discovered when you apply. Book the second unit before your next week over 10 hours at a site.
